Who we are

HWY Foundation operates IndiansInSalemOR.com and Salem India Wellness Community. This policy explains how we handle personal information in connection with our website, community communications, voluntary donations, event registrations, and activities.

Information we collect

We collect information you choose to provide, which may include:
• Your name, email address, phone number, and communication preferences.
• Community registration information, local references, volunteer interests, and event registrations.
• Donation amounts, dates, transaction references, payment status, and related correspondence.
• Participation consent records and any separate photo permissions.
• Information a parent or guardian provides to register a child for an activity, limited to what is needed to organize that activity safely.

Our website and its providers may also collect technical information, such as IP addresses, browser and device information, pages visited, and cookie identifiers. Such information may identify or be linked to a person or device.

Please do not submit medical records, Social Security numbers, immigration documents, or other sensitive documents through general contact forms or community groups. If a program needs sensitive information, we will explain the purpose and appropriate submission method separately.

How we use information

We use information to:
• Respond to questions and administer community participation.
• Register participants, organize activities, and communicate event changes or safety information.
• Process and acknowledge donations and maintain financial records.
• Coordinate volunteers and community services.
• Send community news and optional fundraising communications according to your choices.
• Maintain and improve our website, prevent misuse, and meet legal obligations.

Community participation does not require a membership fee or donation. Choosing not to donate does not automatically subscribe you to fundraising messages or restrict access to donation-supported activities.

Payments

Online payments are handled through third-party payment providers, such as PayPal when used at checkout. Those providers process payment information under their own privacy policies. We may receive information needed to acknowledge, reconcile, or refund a transaction, including the payer's contact details, amount, and transaction reference. Do not send card numbers or bank account credentials by email or WhatsApp.

When we share information

We do not sell, rent, or trade personal information. We may disclose information:
• To website, payment, email, recordkeeping, and event-support providers as needed for their services. Their handling of information is also subject to applicable agreements and their privacy policies.
• To authorized organizers and volunteers who need it to carry out their assigned responsibilities.
• When required by law or reasonably necessary to address fraud, security incidents, or threats to safety.
• In a lawful organizational restructuring or program transfer, with appropriate safeguards and notice where required.

We do not provide participant or donor contact lists to sponsors, advertisers, HWY Physical Therapy, or other businesses for their independent marketing without separate permission. A donation does not authorize business marketing.

WhatsApp and other community platforms

Joining our WhatsApp groups is optional. In ordinary WhatsApp groups, your phone number, profile information, and posts may be visible to other participants, depending on platform settings. Other participants may copy, save, or forward what you post. Please avoid sharing private family, financial, or health information in these groups.

You may leave a group at any time. We cannot guarantee deletion of information already retained by other participants. WhatsApp and other platforms operate under their own privacy policies.

Children and family activities

Our website forms are intended for adults. Parents or guardians should complete registrations and permissions for children. We do not knowingly invite children under 13 to submit personal information directly through our website.

We may receive limited information about children from their parents or guardians for family activities. Contact us to request access, correction, or deletion of that information, subject to applicable recordkeeping requirements. If you believe a child has submitted personal information directly without appropriate permission, please notify us.

Photographs, videos, and donor recognition

Any permission to use identifiable participant photographs or videos in our public communications will be requested separately from general participation consent. For identifiable children, we will request permission from a parent or guardian. Declining publicity permission will not affect participation. Please notify the event organizer of your preference so we can make appropriate arrangements.

We will request permission before publicly identifying an individual donor or publishing their donation amount. Anonymous public recognition does not mean the transaction is anonymous to the Foundation or payment provider. We cannot control photographs independently taken or shared by other attendees; participants should respect others' privacy and ask before posting identifiable images.

Cookies and external links

Our website may use cookies and similar technologies for site functions and, where enabled, analytics. You may manage cookies through your browser and any controls offered on the website. Blocking some cookies may affect site functions. If we enable optional analytics or advertising tools, we will describe their use and provide choices required by applicable law.

Links to external websites lead to services with their own privacy practices. Review their policies before submitting personal information.

Retention and security

We retain information for as long as reasonably necessary for the purposes described here, including active participation, financial administration, consent documentation, dispute resolution, and applicable legal requirements. When information is no longer needed, we delete it or deidentify it, subject to ordinary backup cycles and legal retention obligations.

We use reasonable safeguards and limit access according to organizational responsibilities. No method of electronic transmission or storage is completely secure.

Your choices and privacy requests

You may contact indiansinsalemor@gmail.com to request access to, correction of, or deletion of your information; update communication preferences; or withdraw optional permissions. We may need to verify your identity. Some records may need to be retained for legal, accounting, safety, or dispute-resolution purposes. We will explain any limits that apply to your request.

You may unsubscribe from optional newsletters and fundraising emails using an available unsubscribe link or by contacting us. Necessary communications concerning an existing registration or transaction may still be sent. Additional privacy rights may apply depending on applicable law.

Changes and contact

We will post revisions with an updated date and provide additional notice of material changes where appropriate or required. Where a change requires consent, we will seek it before making that use of information.

2. COMMUNITY PARTICIPATION AND VOLUNTARY DONATION POLICY
Last Updated: October 18, 2026
============================================================

Everyone is welcome

Salem India Wellness Community, a program of HWY Foundation, no longer uses a required paid-membership model. People may join our community and participate in donation-supported activities whether or not they contribute financially.

Registration, capacity limits, age requirements, supervision, participation consent, and community conduct rules may still apply. These requirements are communicated separately and applied fairly.

Suggested donations

We may suggest a contribution to help cover venue rentals, educational activities, children's programs, website expenses, administration, and other mission-related costs. A suggested donation is voluntary. You may give more, give less, or give nothing. Donations do not purchase priority access, governance rights, or an exemption from community rules.

General donations support the Foundation's mission and operating needs. If we accept a donation for a specific restricted purpose, we will document that restriction and administer it accordingly. Contact us before making a restricted gift.

Event fees and sponsorships

Any future event requiring a ticket or program fee will clearly identify the required charge and its cancellation/refund terms before registration. Required payments will not be presented as optional donations.

Advertising and sponsorship arrangements that include promised promotional services or other benefits will be documented separately. Sponsorship does not provide access to participant or donor contact lists.

Payment processing and recurring gifts

Payment providers may deduct processing fees from the amount received by the Foundation. Any option to contribute toward processing costs is voluntary and will be explained before payment.

Where offered, recurring donations require a donor's affirmative selection. Donors may cancel future installments through the payment provider or contact us for assistance. Canceling future installments does not automatically refund completed payments.

Receipts and tax information

We will provide donation acknowledgments and transaction records as appropriate. Tax treatment depends on the Foundation's confirmed IRS status, applicable law, and whether the donor receives goods or services. We do not guarantee any individual's tax deduction. Any required disclosures concerning benefits provided in exchange for a payment will accompany the acknowledgment or solicitation.

Payment errors and refund requests

For a duplicate, mistaken, or unauthorized transaction, contact us promptly at indiansinsalemor@gmail.com with the date, amount, and transaction reference. Do not email card numbers or account credentials. We will review requests individually, subject to applicable law, payment-provider procedures, and any accepted gift restrictions. This policy does not limit rights available through your payment provider or applicable law.

Earlier membership payments

If you previously paid a membership fee, please contact us about the benefits originally communicated or any question about your payment. We will address those commitments individually. Earlier fees are not automatically reclassified as donations, and their original financial records will be preserved.

Privacy and accountability

We handle donor information according to our Privacy Policy. Individual donor names and amounts will not be publicized without permission. We maintain financial records and may share aggregate financial summaries to explain how community support is used.
